A Day in My Life as a Beginner VA
Virtual Assistant Journey

If someone had told me a year ago that I’d be managing calendars, replying to emails for clients I’ve never met in person, and doing it all from my living room in pajama pants… I would’ve laughed.
But here I am, living that VA life. And while it might not be glamorous, it’s real, it’s flexible, and it’s more fulfilling than I ever expected.
So today, I thought I’d bring you along with me give you a peek into what a typical day looks like for a beginner virtual assistant just finding her rhythm.
Spoiler: it’s not perfect. But it’s mine.
7:30 AM — Wake Up & Check In
I wake up without an alarm (the beauty of setting your own schedule!) and the first thing I do after stretching and saying a quick “thank you” for another day is check my emails. I know, I know… not the healthiest habit, but I like knowing what’s waiting for me before I get out of bed.
I scan for anything urgent from clients. Most mornings, there’s something: a new task, a meeting reschedule, or a quick “Can you look into this for me?” That sets the tone for my day.
8:00 AM — Coffee & Calendar Time
Coffee in hand, I sit down at my desk and open up my digital calendar and task list. I use Trello and Google Calendar to plan everything. I organize my day into time blocks:
- Client work
- Admin tasks
- Learning & growth time (yep, still a student of the game!)
This is also when I double-check deadlines, review client notes, and set 2–3 big goals for the day.
9:00 AM – 12:00 PM — Deep Work Mode
These hours are my most productive, so I use them for focused tasks:
- Writing emails or replies for a client
- Managing a client’s social media schedule
- Researching for blog content or outreach
If a client has asked me to update something in their CRM or follow up with a customer inquiry, this is when it gets done. I pop in my earbuds, play a chill playlist, and zone in.
12:00 PM — Lunch & A Quick Break
I shut my laptop, stretch, maybe throw in a load of laundry or step outside for fresh air. I’ve learned how important it is to actually take breaks. Working from home doesn’t mean working all the time.
1:00 PM – 3:00 PM — Client Calls & Follow-Ups
Afternoons are usually lighter. I respond to emails, send updates to clients, and hop on a Zoom call if needed. These chats are usually check-ins:
- “How’s the inbox looking?”
- “Can you prioritize this task for tomorrow?”
- “Here’s some feedback from the last post you scheduled.”
It’s not always glamorous, but it’s collaborative and rewarding.
3:30 PM — Wrap-Up & Reflect
I do a quick wrap-up at the end of the day:
- Update Trello boards
- Note what I didn’t finish
- Prep for tomorrow
I also check in with me: How did I feel today? Was I overwhelmed? Did something feel off? Reflection helps me adjust and keep growing.
Final Thoughts
Being a beginner VA isn’t about being perfect. It’s about showing up, learning, and building trust—one task, one email, one client at a time. It’s real work. It’s meaningful. And yes, sometimes it’s messy.
But you know what else it is?
Freedom. Flexibility. Fulfillment. And the kind of growth that sneaks up on you and makes you proud.
If you’re thinking of starting, I say go for it. Will it feel awkward at first? Probably. Will you make mistakes? Definitely. But every step is progress.
You’ll grow in confidence, sharpen your skills, and slowly start creating a life that aligns with your goals and values. There’s so much potential in this path—so much waiting for you on the other side of that “yes.”
