Using AI to avoid conflicts

Countless conflicts erupt simply from how we communicate

The words we use, a combination of our tone, gestures, and personality could lead us into conflicts even against our will. This isn’t something we think about very often, but the reason you might be in conflict with others isn’t necessarily an ideological disparity but rather the missteps in our communication.

Think about the corporate world where millions of people get to work together, yet an insignificant amount of conflicts occurs, how frequently do you see people getting into fights in offices? Not very often, we sometimes have more conflicts in our families than in the corporate world where we work. The secret lies in the way we communicate.

How we communicate

In the world as well as in our families, there are no restraints on how we communicate, what we choose to say or how we choose to say it. Everybody basically does what they feel like. You can cuss all you want, roll your eyes, disrespect, and do pretty much anything you think of. No matter who is standing in front of you, it’s based on your feelings, emotions, and relationship with that person, you decide how to communicate.

This nonchalant way of our communication opens up the path to many potential conflicts, especially when we are misunderstood, without even mentioning the differences which exist in our way of communicating. There is a great diversity in how we learned communication which varies based on our environment, wealth, parents, education etc. yet there is an expectation for us all to communicate in the same way. Sure, we might all speak English, but communication is much more than just a language.

Cultural differences

Every country in the world has its culture which influences its communication. In some countries there is freedom of expression, where everyone can say what they like, blurt out insults to each other or even threaten anyone they feel uncomfortable with. In other countries, they prioritize respect and decency, speaking to each other with a lot of respect and for some countries like Japan, they go as far as bowing, as a sign of respect. So you can imagine what happens when these cultures come into contact. There is bound to be misunderstandings and conflicts which arise.

The corporate language

If you are going to put millions of people to work together in a confined space, you want to ensure that they know how to communicate with each other in a way to avoid conflicts. Otherwise, the human resource department will be working overtime every day. That’s why the corporate language was invented, a formal way of speaking to each other to ensure consistency, predictability, decrease emotions and foster comprehension. This is a way of communicating which ensures there is respect, not too many emotions involved and a clear exchange of ideas. With this, conflicts have been brought down to a minimum at the workplace. If you don’t know what I am talking about then let me illustrate, when working in the corporate world;

  • you have to address people with a title; M., Mrs., Dr., Director, Manager etc
  • you can’t use certain words, there is actually a defined formal set of words which are allowed
  • laughing is discouraged, you can’t add emojis to an email
  • you have to go straight to the point, no small talk
  • insults, cussing, swearing are prohibited
  • you adopt a formal tone and not a friendly tone
  • etc

Definitely this is evolving based on the country and the company you work with, but the vast majority of the corporate world uphold these to ensure clear communication. The reason this is important is that it ensures predictability and consistency throughout the company. It doesn’t matter who I talk to, everyone is supposed to speak in that way. I can’t tell how a person on the street (or internet) will speak to me, but I always know that every email I receive from the workplace would never contain any insults, that’s just the culture.

Using AI to communicate

So how can AI help you then to communicate appropriately. It's important to note the efficiency of corporate language because it gets things doing very quickly, once you get rid of emotions and prioritize exchanging ideas, things move much faster. Imagine you had to work your way around the feelings of each and every person you met at your company. You can never be liked by everybody, that’s impossible, yet you need all these people at varying levels in order to get things done.

That’s why emotions are discouraged in corporate language, because they will hinder the progress of the work being done. Just because a person doesn’t like you, they might stall your work when it gets time for them to contribute. Using AI to help in our communication, all you simply have to do is to type the following prompt into an AI system, whether its ChatGPT, Gemini, Claude or whatever is out there.

“Rewrite the following text in a corporate friendly way”

Then you proceed to write your feelings as raw as you think about them, you can say or write whatever you like, and the AI system will convert it into an acceptable speech you can later on share with anyone. Here are some examples;

Input :

“Hello Boss, I am say mad at you for what you did to me the other day, first off, we don’t get paid enough, you overload us with work and you are very mean. I hate working here and I look forward to the day I get to leave this shitty place”

Results :

I would like to discuss some concerns I have regarding recent experiences at work. I feel that the current workload is quite substantial, and I have some concerns about the compensation provided for the amount of work expected. Additionally, I believe that there may be opportunities for improving communication and support within our team.

I am committed to contributing to our team’s success and would appreciate the chance to address these issues and discuss potential solutions.

As you can see the result is way more acceptable and less prone to lead to more conflicts, you basically said the same thing but with better words.

You can make use of this as well with your family relatives to avoid conflicts, all you need to do is revise your prompt, just tell the AI you are speaking to a relative and it will adjust the results.

This is how easy you can work on your communication to foster unity and discourage conflicts in all of your relationships. Certainly we might gain some temporary satisfaction from hurting others with our words, but in the long term we destroy the unity we so desperately need.
